Privacy Policy

This Privacy Policy describes how Teqnoman Web Solutions Private Limited ("Company", "we", "us", or "our"), which owns and operates the Propo website and application (collectively, the "Platform"), collects, uses, discloses, stores, and protects your information. We are committed to handling your personal data in accordance with the Information Technology Act, 2000 and the rules made thereunder (including the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011), and the Digital Personal Data Protection Act, 2023, in each case as applicable. By accessing or using the Platform, you consent to the practices described in this Policy.

1. Scope and consent

This Policy applies to all users of the Platform and to all personal data we process in connection with it. It should be read together with our Terms of Service. If you do not agree with this Policy, please do not access or use the Platform.

By providing your personal data to us, or by continuing to use the Platform, you confirm that you have read and understood this Policy and that you consent to the collection, use, and disclosure of your personal data as set out here. Where you provide us personal data of a third party (for example, your client's details within a proposal), you confirm that you have the authority and lawful basis to do so.

2. Information we collect

We collect information that you provide directly, information generated through your use of the Platform, and information from third-party service providers who help us operate the Platform.

  • Account and identity data: your name, email address, password (stored in hashed form), organisation name, and role.
  • Content data: proposals, briefs, client and prospect details, pricing, and other materials you create, upload, or generate on the Platform.
  • Transaction and billing data: subscription plan, billing cycle, invoices, and payment status. Payments are processed by third-party payment gateways; we do not collect or store your complete card number, CVV, or UPI PIN.
  • Technical and usage data: IP address, device and browser type, operating system, pages viewed, features used, referring URLs, and timestamps.
  • Communications data: messages, support requests, and feedback you send to us.

3. Sensitive personal data

"Sensitive personal data or information" under the SPDI Rules, 2011 includes passwords and financial information such as payment instrument details. We collect passwords (in hashed form) to secure your account and rely on PCI-DSS compliant payment gateways for financial information. We do not intentionally collect other categories of sensitive data, and we request that you do not upload such data into proposals unless strictly necessary.

4. How we use your information

We process your personal data for the following purposes, each supported by your consent or another lawful basis such as the performance of our contract with you or our legitimate business interests:

  • To create and administer your account and provide the Platform's features.
  • To generate, store, and display the proposals and content you request.
  • To process subscriptions, payments, invoices, and renewals.
  • To provide customer support and respond to your enquiries.
  • To send service communications, security alerts, and administrative notices.
  • To operate, maintain, secure, and improve the Platform, including analytics and product development.
  • To detect, prevent, and investigate fraud, abuse, and violations of our Terms.
  • To comply with applicable law and enforce our legal rights.

5. Disclosure of information

We do not sell your personal data. We may disclose your personal data to the following categories of recipients:

  • Service providers and processors: hosting, cloud infrastructure, analytics, email, and payment-gateway providers who process data on our behalf under appropriate confidentiality and data-protection obligations.
  • Legal and regulatory authorities: where disclosure is required by law, court order, or a lawful request from a government or regulatory body.
  • Business transfers: in connection with a merger, acquisition, restructuring, or sale of assets, subject to this Policy continuing to apply to your personal data.
  • With your consent: to any other party where you direct or authorise us to do so.

6. Data storage, transfers, and retention

Your data may be stored and processed on servers located in India or in other countries where our service providers operate. Where personal data is transferred outside India, we take reasonable steps to ensure it is protected in a manner consistent with this Policy and applicable law.

We retain your personal data for as long as your account is active and for as long as necessary to provide the Platform, comply with our legal, tax, and accounting obligations, resolve disputes, and enforce our agreements. When personal data is no longer required, we will delete or anonymise it in a secure manner.

7. Your rights

Subject to applicable law, including the Digital Personal Data Protection Act, 2023, you have the right to:

  • Access the personal data we hold about you and request a summary of its processing.
  • Request correction, completion, or updating of inaccurate or incomplete personal data.
  • Request erasure of your personal data where it is no longer required, subject to legal retention obligations.
  • Withdraw your consent to processing at any time, without affecting the lawfulness of processing carried out before withdrawal.
  • Nominate another individual to exercise your rights in the event of death or incapacity.
  • Grieve about the handling of your personal data through our Grievance Officer.

8. Cookies and analytics

We use cookies and similar technologies that are necessary to operate the Platform (for example, to keep you signed in) and, where enabled, analytics cookies to understand usage and improve the Platform. You can manage or disable cookies through your browser settings; disabling certain cookies may affect the functionality of the Platform.

9. Security

We implement reasonable security practices and procedures as required under the Information Technology Act, 2000 and the SPDI Rules, 2011, including encryption of data in transit, access controls, and hashing of passwords, designed to protect your personal data from unauthorised access, disclosure, alteration, or destruction. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10. Children

The Platform is intended for business users and is not directed at children. We do not knowingly collect personal data from any person under the age of 18. If we become aware that we have collected such data without appropriate consent, we will take steps to delete it.

11. Changes to this Policy

We may update this Policy from time to time to reflect changes in our practices or the law. We will revise the "Last updated" date at the top of this page and, for material changes, provide additional notice through the Platform or by email. Your continued use of the Platform after such changes constitutes acceptance of the updated Policy.

In accordance with the Information Technology Act, 2000 and the rules made thereunder, and the Digital Personal Data Protection Act, 2023, the contact details of our Grievance Officer are set out below. If you have any questions, concerns, or complaints about this Policy or the handling of your personal data, you may contact us and we will endeavour to resolve your grievance within the timelines prescribed under applicable law.
